JOB DESCRIPTIONS
OVERALL- We’re looking for a highly organized, proactive Personal Assistant to support a fast-moving director across both business and personal matters. This is not a routine office role. It’s dynamic, hands-on, and varied, with exposure to luxury, wellness, real estate, fashion, and tech startups. You’ll work closely with decision-makers, manage priorities, and help keep everything running smoothly day to day.
RESPONSIBILITIES
As the Personal Assistant, you will support a director across both business and personal needs, ensuring day-to-day operations run smoothly. This role requires strong organization, initiative, discretion, and the ability to manage multiple priorities.- Manage tasks, deadlines, follow-ups, and reminders
- Act as a gatekeeper, handling requests and communications efficiently
- Coordinate and negotiate with vendors for business and personal needs
- Prepare weekly or monthly reports, presentations, and briefs
- Support business projects by managing timelines, vendors, and tools such as Notion, Excel, and project management software
- Support management of multiple rental apartments, including tenants, rent collection, and maintenance
- Handle tenant inquiries and resolve issues promptly
- Be available for urgent matters such as emergencies or vendor access, including weekends if required
- Manage calendars, meetings, appointments, and calendar invites
- Book and coordinate travel, including flights, hotels, and transportation
- Occasionally travel with the director to meetings or events and provide on-site support if needed
- Assist with planning and coordinating events, including logistics and vendor management
- Support household needs such as weekly personal shopping
- Maintain good relationships with suppliers and service providers
- Handle personal errands and ad-hoc requests
- Maintain full discretion and confidentiality
- Support pet-related needs, including supplies, vet visits, or grooming
- Working hours: Monday to Friday
- Must be available on weekends for urgent matters such as property emergencies or vendor access
- Work location is hybrid
- Remote work from home or flexible locations
- In-person work mainly in District 1 or other required locations
- Must be able to work independently
- The primary place of work is flexible, but availability at different locations is required
- Responsibilities may evolve based on business needs
- 1+ year experience as an Executive Assistant, Event Planner, or similar role
- Experience in property management, event coordination, or business operations is a plus
- Strong organizational, prioritization, and problem-solving skills
- Ability to handle multiple tasks in a fast-paced environment
- Strong English communication and writing skills
- Proficient in Google Workspace, Microsoft Office, and collaboration tools such as Notion, Trello, or Slack
- Professional, discreet, and reliable
- Excellent interpersonal and customer service skills
- Must have a personal motorbike for transportation
- Experience with AI creation tools, editing software, or content creation tools (e.g. Canva, Figma, Photoshop, AI tools) is a plus
