JOB DESCRIPTIONS
As the Personal Assistant to Two Directors, you'll play a pivotal role in keeping everything running smoothly across both their work and personal lives. This means being highly organized, proactive, and always ready to juggle multiple priorities with grace.RESPONSIBILITIES
Administrative & Business Support:- Stay highly organized and track all assigned tasks, ensuring deadlines are met and reminders are sent as needed.
- Negotiate with vendors and provide the best recommendations for business and personal needs.
- Handle requests and queries efficiently, acting as a reliable gatekeeper for the directors.
- Prepare weekly/monthly reports, presentations, and briefs as required.
- Assist in managing business projects by creating timelines, coordinating with vendors, and using online tools like Notion, Excel, and project management software to stay organized.
- Oversee and manage multiple rental apartments, including assisting in finding tenants, collecting rent, and coordinating maintenance or repair work.
- Handle tenant inquiries, resolve issues, and ensure smooth property operations.
- Be available for urgent matters, such as tenant emergencies or vendor access to the apartments, including on weekends if needed.
- Organize and manage the directors’ calendars, scheduling meetings and appointments, and sending out calendar invites.
- Make clear and concise travel arrangements, including hotel, flights, and transportation bookings.
- Occasionally travel with the directors for meetings and events, taking notes or providing assistance as needed.
- Assist in planning and coordinating events, ensuring all logistics and vendor management are handled.
- Support household management, including weekly personal shopping (groceries, essentials, etc.).
- Maintain good relationships with service providers and suppliers.
- Assist with personal errands and ad-hoc requests as needed.
- Maintain discretion and confidentiality in all matters.
- Support with purchasing pet supplies and taking pets to the vet or groomers.
- Must be available on weekends for urgent matters such as emergencies at the apartments or vendor access.
- 60% remote (home, directors’ home, coffee shop, or flexible locations)
- 40% in-person work with the directors in District 1, 2 (or other required locations).
- Must be able to work independently.
REQUIREMENTS
- Fluently English communication and writing skills (work with expat)
- A degree is strongly preferred.
- 1+ years of experience as an Executive Assistant, Event Planner, or similar roles.
- Experience in property management, event coordination, or business operations is a plus.
- Ability to prioritize multiple tasks efficiently.
- Strong organizational and problem-solving skills.
- Proficiency in Google Suite, Microsoft Office (Word, Excel, PowerPoint), and online collaboration tools (Notion, Trello, Slack, etc.).
- Basic knowledge of design software (Photoshop, Figma, Canva) is a plus.
- Excellent interpersonal and customer service skills.
- Discretion, confidentiality, and professionalism.
- Ability to work in a fast-paced environment with shifting priorities.
- Must have a personal motorbike for transportation.
